The 3-Step Ordering Process
Step 1: Prepare Your List
The fastest way to get your labels produced is to provide a clean data file. Custom Phenolic Labels imports your columns directly into the engraving software, which eliminates typos, reduces proof cycles, and shortens lead time.
Preferred format: Microsoft Excel (.xls or .xlsx) or CSV.
Excel is preferred because the column structure maps directly to the engraving layout software. Each row becomes a label. Each column becomes a line of text. No retyping. No interpretation.
Custom Phenolic Labels can also transcribe handwritten lists, PDFs, or photographed field notes if a spreadsheet is not available. Handwritten or non-structured submissions may require additional setup time and may require a separately quoted data-entry charge, disclosed before you approve the order.
Step 2: Submit Your Details

Label size: Provide exact dimensions (example: 1 inch by 3 inches) or specify “Fit to Text” and Custom Phenolic Labels will size each label to the content.
Mounting method: Choose from adhesive backing (3M industrial adhesive is standard), drilled holes (specify number and placement), slots for cable ties, or no mounting hardware.
Quantity: Include per-label quantities if not already specified in your spreadsheet.
Required delivery date: When do you need the labels in hand? This helps Custom Phenolic Labels prioritize production and select the appropriate shipping method.

How to Format Your Excel File
The Gold Standard for Fast Production
To ensure 100% accuracy and the fastest possible turnaround, keep your spreadsheet simple. Do not use merged cells, background colors, cell comments, or complex formatting. Plain text in clean columns is all that is needed.
Option A: Simple List (Most Common)
This format works for the majority of orders. Set up your spreadsheet with three columns.
Column A: Line 1 Text (example: PUMP 1). Column B: Line 2 Text (example: FED FROM PANEL A). Column C: Quantity per label.
Add additional columns for Line 3, Line 4, or other text lines as needed. Each row represents one unique label design.
Option B: Sequential Data (Numbered Tags)
You do not need to type every row for sequential tags. Provide instructions such as “Engrave tags 001 through 100 with text HW ISO” and Custom Phenolic Labels will generate the full sequence automatically. This is common for valve tags, cable tags, and asset identification projects.
Option C: Electrical Panel Schedules
For panel labeling projects, send your existing panel schedule in any format or download the Custom Phenolic Labels Excel template for panel schedules.
When submitting panel schedules, ensure the circuit description column is clearly separated from the breaker rating column. If your schedule includes both 120V and 208V circuits, note which labels correspond to which voltage or panel section.
Drawings and Technical Specifications
For solar placards, machine control panels, legend plates, or custom-shaped labels, Custom Phenolic Labels accepts technical drawings and design files.
Accepted file types: PDF, DXF, AI, EPS.
Dimensions: All drawings must include a scale reference or explicit dimensions (example: 22mm hole center-to-center spacing).
Logos and graphics: Vector files in AI or EPS format are preferred for clean engraving reproduction. JPEG or PNG logo files may require a conversion to vector format before they can be engraved.
For complex panel layouts or multi-label assemblies, Custom Phenolic Labels always provides a proof for approval before production begins.
Sorting, Kitting, and Job Site Delivery
Custom Phenolic Labels can sort and kit your labels for efficient installation. Add a column labeled “Room,” “Area,” “Floor,” or “Bag Label” to your spreadsheet, and labels will be grouped and bagged accordingly at no additional charge.
For large projects, Custom Phenolic Labels also provides sequential ordering within each group, clearly labeled bags or bins for each zone, and packing lists that match your project documentation.
